OVERALL RESPONSIBILITIES:

El Museo del Barrio’s Rentals Manager will play a leadership role in El Museo’s Development Department by helping to generate significant income through the rental of El Museo facilities. The Rentals Manager will also provide back up support to El Museo’s in-house special events activities and will assist with other elements of El Museo’s activities as needed.

The Rentals Manager will be a dynamic, proactive, creative, sales-oriented individual committed to filling El Museo’s calendar with earned income revenue. He or she will be responsible for making every effort to rent every available space at El Museo as often as possible. These spaces include, but may not be limited to, El Museo’s galleries, 599-seat theater, café, lobby, courtyard and talleres (third floor arts education studios).

This position is primarily sales oriented and the successful candidate will bring expertise in salespersonship, preferably in a for-profit setting, to El Museo. Due to the on-demand nature of this position, the Rentals Manager must be very flexible in terms of schedule, prepared to work early, late and weekends as needed.

Primary Duties:

  • Communicate on an ongoing basis with meeting planners, event planners, concert promoters, marketing firms, local businesses, community groups, nonprofit organizations, film production coordinators
  • In coordination with El Museo’s marketing department, place and track ads in appropriate print and online publications, such as (for purposes of example) Agenda New York, Locations magazine, Crain’s New York Business’s meeting planning guide, newsletters of groups such as the Greater New York chapter of Meeting Professionals International, etc.
  • Speak about rental opportunities at El Museo at community events, networking events, in phone calls, etc.
  • Take incoming calls regarding rental opportunities. All voicemail or other messages must be returned promptly.
  • Work with all museum departments in soliciting contacts or ideas to promote the facilities.
  • Lead site visits with prospective renters and follow up diligently.
  • In coordination with El Museo’s marketing department, prepare and maintain print and online promotional materials.
  • In coordination with El Museo’s Operations and Fiscal departments, prepare and maintain intake and other administrative forms.
  • Help set financial goals track success against those goals.
  • Prepare budgets for rental events
  • Manage relations with existing and potential clients and prepare evaluation of clients experience
  • Maintain a list of comparative rental prices for other organizations

Special Events

  • Provide support to El Museo’s Special Events department in connection with onsite and offsite fundraising events, as needed.
  • Provide support to El Museo’s Special Events department in connection with conceiving, scheduling, planning and implementing El Museo cultivation and stewardship events, including studio visits, private collection tours, travel program trips, VIP gallery tours at El Museo and with other museums, etc.

 Additional Responsibilities

  • Assist with preparation of annual budgets
  • Other tasks as assigned and needed

Qualifications:

  • Bachelor’s degree required, preferably in a business related field.
  • Extensive experience with sales and/or event planning, preferably in a for-profit, results-oriented setting.
  • Appreciation of El Museo’s mission and the ability to communicate that mission effectively and enthusiastically
  • Strong written and oral communication skills; good presentation skills
  • Entrepreneurial “can-do” spirit, upbeat attitude and sense of humor
  • Ability to work productively with diverse constituencies
  • Strong computer skills

El Museo del Barrio is the premier American museum whose mission is to present and preserve the art and culture of Puerto Ricans and all Caribbean, Latin American and Latino people in the United States. It is New York City's only major museum with this focus and the City's leading educator in Latino, Latin American and Caribbean art and culture.
